ISP Billing Software: 10 Things to Check Before You Choose

Most local and regional Internet Service Providers start with a spreadsheet, a WhatsApp group and a notebook. That works for the first few hundred subscribers. After that, missed renewals, unanswered complaints and unclear collections start costing real money.
ISP billing and CRM software solves this, but the wrong choice can be just as painful as no software at all. Here is a practical checklist to use when comparing options.
1. Subscriber management that matches how you work
Look for one screen that shows a subscriber’s details, plan, connection status, payment history and complaints. If your staff needs to open four screens to answer one customer call, the software will not be used.
2. Plans, renewals and reminders
Renewals are where most ISPs lose revenue. Check that the software can handle your plan types (monthly, quarterly, yearly, custom), shows upcoming expiries clearly and can send reminders automatically before a connection expires.
3. Payment collection and receipts
Ask how cash, UPI and online payments are recorded, whether receipts are generated automatically, and whether field collections can be entered from a phone. Collections should reconcile easily at the end of the day.
4. Complaint and ticket tracking
Every complaint should get a ticket, an owner and a status. You should be able to see open complaints by area and by staff member, and how long each one took to close.
5. Staff roles and permissions
Office staff, collection agents and technicians need different access. Good software lets you control who can see payments, edit plans or delete records, and keeps a log of who changed what.
6. WhatsApp and SMS communication
Customers in India expect updates on WhatsApp. Check whether the software supports renewal reminders, payment confirmations and outage notices, and whether it uses the official WhatsApp Business Platform so your number is not put at risk.
7. Reports you will actually use
At minimum: collections by day and by agent, upcoming renewals, expired connections, new connections and complaint summary. Reports should be downloadable to Excel.
8. Data ownership and export
Your subscriber data is your business. Confirm that you can export all data at any time, in a usable format, without extra fees, and ask where the data is stored and how it is backed up.
9. Mobile access
Owners want to check collections from their phone; field staff need to update tickets on the go. A mobile-friendly interface is no longer optional.
10. Onboarding and support
Ask who will import your existing subscriber data, how staff will be trained and how quickly support responds. The best features are useless if nobody on your team is comfortable using them.
A simple way to compare
Take your five most common daily tasks (adding a new connection, recording a payment, handling a complaint, checking expiring connections and closing the day’s collections) and ask each vendor to show you exactly how those work in a live demo. That tells you more than any feature list.
